Campaign Operations
Eloqua

A global research and professional services organisation with 2,500 employees needed to reduce operational complexity in Pardot and create a more scalable campaign delivery process. By standardising templates, cleaning up the platform and improving governance, the team reduced manual work, improved reporting visibility and made campaign execution more reliable.
Campaign teams spent too much time maintaining the system instead of running campaigns.
A global research and professional services organisation relied on Pardot to support event campaigns and nurture programmes. Over time, the environment became harder to manage. Duplicate automation rules, completion actions and Engagement Studio programmes created inconsistencies and increased the risk of errors.
The platform was also carrying significant technical debt. Dynamic lists could take up to 24 hours to process, outdated records remained in the database and large numbers of unused assets added unnecessary complexity. Email templates were difficult to update and did not support modern requirements such as dark mode compatibility.
The problem extended beyond assets. Segmentation logic varied across teams, suppression lists overlapped and communication controls lacked consistency. Nurture programmes were built individually rather than following a repeatable structure. As campaign volumes increased, the architecture struggled to support efficient execution.
The goal was to make campaign execution repeatable, faster and easier to maintain.
The team focused on reducing complexity before introducing new functionality. Simplifying the platform first made every future improvement easier to implement and maintain.
The biggest improvement was operational clarity. Teams gained a common approach to campaign execution, cleaner segmentation logic and a platform that was easier to maintain. Reporting became more accessible, whilst campaign teams spent less time solving technical issues and more time focusing on execution quality.
The team stopped rebuilding operational processes for every campaign.
Before the project, campaign execution relied on duplicated assets, overlapping automation and inconsistent segmentation practices. Teams spent valuable time maintaining the system rather than improving campaign performance.
The introduction of reusable nurture templates created a more predictable campaign delivery model. Campaign builds required fewer manual steps and event teams could work from a standard framework rather than creating assets from scratch.
The platform cleanup reduced operational risk. Duplicate rules, outdated assets and conflicting automation paths were removed, making it easier to understand how campaigns operated and reducing the chance of unexpected behaviour.
Standardised templates and communication controls improved the customer experience as well. Emails became easier to maintain, send timing became more relevant and segmentation followed consistent governance rules.
The organisation gained a cleaner Pardot environment, faster campaign delivery and a repeatable framework for running nurture and event campaigns at scale.
